Hemel & Aarde Estate is a lovely estate located at the entrance to Hemel & Aarde Village and a short scenic drive from the Hemel-en-Aarde Valley, one of the South Africa’s fastest growing wine regions. Surrounded by such natural beauty, it truly appears to be heaven on earth, as the name suggests.
But not everything was perfect in the administration of the Hemel & Aarde Estate’s Homeowners Association. The Homeowners Association was having constant email problems as well as document sharing issues. Trying to keep everyone up to date was a nightmare, and when Covid crashed, a slew of new problems arose. Particularly with regard to AGM meetings, as not all owners wished to attend in person.
Fortunately, when Hemel & Aarde Estate approached Radical Cloud Solutions with the goal of streamlining their work processes and increasing productivity, we knew exactly what needed to be done. How did Radical Cloud Solutions help?
Our first step was to move the client to Google Workspace. Google Workspace is a collection of Google’s productivity and collaboration tools. We didn’t even need to meet with our client in person to get them set up because they were hosted in the cloud. This enabled us to easily overcome the numerous challenges posed by the Covid pandemic.
We helped them set up shared calendars and trained them on how to use them. We completed a full data migration and set up shared folders before assisting with the migration of their contacts from their previous system.
We believe that no setup is complete without some training. We encourage our clients to get the most out of the products by adequately teaching them how to be self-sufficient. We also provide quick and dependable support so that they are never overwhelmed by the changes that have been implemented.
How were the Implemented Solutions received?
All homeowners were able to access important documents by implementing Google Workspace while adhering to POPI act guidelines.
Google Forms helped the committee confirm venue bookings and vote for the Homeowners Association.
Google Calendars has eliminated double bookings of venues and ensured that all Homeowners Association members are aware of when meetings are taking place.
The implementation of Google Workspace has resulted in increased communication and, as a result, less frustration because everyone in the Homeowners Association is aware of what is going on.
Remote voting during meetings is now possible using Google Forms, making the Annual General Meeting more efficient.
Overall, the implementation has resulted in happier homeowners, less stress for the management company, and faster query response times.
